Although it has taken a few years, the use of portals is now becoming more popular among firms. A secure portal or a file transfer service for transmitting electronic data will encrypt the data files shared between firms and their clients. This process eliminates the risk of sending unsecure emails or sending an email to the wrong recipient.

Any data file can be securely uploaded to the portal. The process usually involves an email notification to either the client or the firm advising them that there is a document ready for their use.

Regardless of your solution, you should exercise caution in how your firm implements this service. Ensure you are using a reputable service provider that that you are aware of the rules associated with client privacy and confidentiality. Be aware of where your client data is stored and the implications for you.
